Chart of Accounts for a Kuwait Retail or F&B Business
Your chart of accounts decides what your reports can tell you. Here is a ready-to-use structure for Kuwait retail and F&B SMEs — including the local accounts every international template leaves out.

Nearly every messy set of books we are handed in Kuwait has the same root cause: the owner signed up for accounting software, accepted the default chart of accounts written for a generic American service business, and started invoicing. Eighteen months later the profit and loss statement has a single line called "Cost of Goods Sold" and forty-one lines called things like "Miscellaneous Expense." You cannot manage margin from that. Here is the structure to use instead.
The numbering scheme
Use the standard five-block scheme and leave gaps of ten between accounts so you can insert later without renumbering:
- 1000–1999 Assets — bank, cash floats, receivables, inventory, deposits, fixed assets
- 2000–2999 Liabilities — payables, accruals, payroll liabilities, end-of-service provision, loans
- 3000–3999 Equity — capital, retained earnings, partner current accounts
- 4000–4999 Income — revenue by stream
- 5000–5999 Cost of sales — direct costs only
- 6000–6999 Operating expenses — everything else
The single most important discipline is the 5000 / 6000 boundary. If a cost rises when you sell one more unit, it belongs in 5000. If it does not, it belongs in 6000. Get this wrong and your gross margin is fiction.
Assets and liabilities: the Kuwait additions
Start from your software's default asset and liability list, then add these. They are the ones that matter locally and are almost never in an off-the-shelf template:

| 3200 | Partner / shareholder current account | Keeps owner funding visible instead of buried in the bank line |
Income: split by how you actually earn
One revenue line tells you nothing. Split by channel, because channels have wildly different margins after commission:
- 4010 In-store / dine-in sales
- 4020 Takeaway and counter sales
- 4030 Delivery-platform sales — gross, before the platform's commission
- 4040 Catering, events or bulk orders
- 4050 Corporate / contract sales
- 4900 Sales returns, discounts and voids — as a contra-income account, never netted off silently
Recording delivery-platform revenue net of commission is the most common error we see in Kuwait F&B. Book the gross sale in 4030 and the commission separately in cost of sales. Netting hides the fact that a large share of your delivery revenue never reaches your bank.

Cost of sales: where the margin story lives
This block is what separates a useful chart of accounts from a decorative one:
- 5010 Food cost
- 5020 Beverage cost — separate always; beverage margin is usually far higher and blending the two conceals a food-cost problem
- 5030 Packaging and disposables — material in any takeaway-heavy Kuwait operation
- 5040 Delivery-platform commission
- 5050 Own delivery: driver wages and fuel
- 5060 Stock wastage, spoilage and staff meals — the account nobody wants and everybody needs
- 5070 Card-processing and payment-gateway fees
For pure retail, replace the food and beverage split with product categories that mirror how you buy and price — typically three to six categories, no more.
Operating expenses: five groups, not forty lines
Group operating expenses so the P&L reads at a glance, with detail underneath:
- 6100 People — basic salaries, housing and transport allowances, overtime, indemnity charge for the period, PIFSS employer contribution, staff visas and medical.
- 6200 Premises — rent, electricity and water, municipality fees, cleaning, maintenance, security.
- 6300 Government and compliance — commercial licence renewal, Chamber of Commerce, PAM and work-permit fees, residency and Civil ID renewals, professional and PRO service fees, audit fees.
- 6400 Sales and marketing — social media and influencers, printing and signage, photography, promotions.
- 6500 Administration — accounting software subscriptions, POS subscription, telecom, bank charges, insurance, depreciation.
The 6300 group is the one Kuwait SMEs consistently underestimate. Isolating it makes the true annual cost of staying compliant visible — and it maps neatly onto the annual compliance calendar.
Five mistakes that ruin reporting
- Using "Miscellaneous" as a real account. Anything above a trivial threshold in miscellaneous is a coding decision someone avoided. Review it monthly and force it to near zero.
- Putting owner drawings in expenses. Drawings reduce equity; they are not a cost of running the business, and treating them as one understates profit.
- One account per supplier. Suppliers belong in the contacts list, not the chart of accounts. This is how a 60-account ledger becomes a 400-account swamp.
- No wastage account. If spoilage is buried in food cost you will never know whether a margin drop came from purchase prices or from the kitchen.
- Ignoring the indemnity provision. End-of-service accrues from day one. A ledger without it shows a healthier balance sheet than the company actually has.
Loading it into your software
All four platforms Kuwait SMEs commonly use — Zoho Books, Xero, QuickBooks Online and Odoo — accept a CSV import of the chart of accounts. Build the list in a spreadsheet with code, name, type and description, import once, then lock editing rights so staff cannot create accounts on the fly. That single permission setting prevents most of the drift.

Frequently asked questions
What is a chart of accounts?+
A chart of accounts is the structured list of every account your bookkeeping system posts to — assets, liabilities, equity, income and expenses — usually organised by a numbering scheme. It determines what your profit and loss statement and balance sheet can tell you, so it should be designed before you record your first transaction.
How many accounts should a Kuwait SME have?+
For a single-location retail shop or restaurant, 60 to 90 accounts is usually right. Under 40 and your reports are too coarse to manage margin. Over 150 and staff start miscoding transactions, which is worse than having no detail at all.
What numbering system should I use?+
The standard five-block scheme works well: 1000s assets, 2000s liabilities, 3000s equity, 4000s income, 5000s cost of sales, 6000s operating expenses. Leave gaps of ten between accounts so you can insert new ones later without renumbering the whole ledger.
Do I need Arabic account names?+
Your internal ledger can be English-only. However, if you deal with government or semi-government clients, or if your auditor prepares Arabic statements, having bilingual account names configured in your software saves rework at year-end. Zoho Books and Odoo support this natively.
What Kuwait-specific accounts should I add?+
At minimum: an end-of-service indemnity provision liability, a PIFSS payable account for Kuwaiti staff, separate expense accounts for commercial licence and Chamber of Commerce fees, residency and Civil ID renewal costs, work-permit and PAM fees, and a shareholder or partner current account. These are the accounts generic international templates always miss.
Should F&B businesses split cost of sales?+
Yes. Food cost and beverage cost behave completely differently — beverage margin is typically far higher, and blending them hides a deteriorating food margin for months. Split cost of sales into food, beverage, packaging and delivery-platform commission at a minimum.
Can I change my chart of accounts later?+
You can, but it costs money and comparability. Remapping a year of transactions and restating opening balances typically runs into several hundred dinars of bookkeeper time and breaks year-on-year comparison until the restatement is complete. Design it properly at the start.
